How to Share a folder with different permissions per user in Windows 10/11

Configurare noua (How To)

Situatie

Sharing a folder for “everyone” is simple but insecure. Here is how to grant individual access: one user can read, another can also modify files, and a third has no access at all.

Solutie

Step 1 — Enable file sharing in Network settings

Go to Control Panel → Network and Sharing Center → Change advanced sharing settings. Enable “Turn on network discovery” and “Turn on file and printer sharing”. Save your changes.

Step 2 — Open Advanced Sharing on the target folder

Right-click on the folder → Properties → Sharing tab → Advanced Sharing button. Check “Share this folder” and give it a share name.

Step 3 — Open Permissions and remove the Everyone group

Click the “Permissions” button, select “Everyone” from the list and click “Remove”. Now add each user individually using the “Add” button → type the Windows account name → “Check Names” → OK.

Step 4 — Set network permissions for each user

Select each user in the list and check the appropriate permission level:

  • Read — can view and open files only
  • Change — can modify and delete files
  • Full Control — complete rights, including changing permissions

Step 5 — Adjust NTFS permissions from the Security tab

Go to Properties → Security → Edit. Add the same users with equivalent rights. NTFS and network permissions are both applied — if NTFS is more restrictive, it takes priority regardless of the network share settings.

Step 6 — Test access from another computer

On another PC on the same network, press Win + R and type the UNC path of the folder (found in Properties → Sharing → Network Path, in the format \\COMPUTERNAME\ShareName). Log in with each user’s credentials to verify permissions are working correctly.

Tip: If access is denied even with correct permissions, check that Windows Firewall is not blocking File and Printer Sharing. Enable the exception from Control Panel → Windows Defender Firewall → Allow an app through firewall.
